Project White Coat (“Project White Coat,” “we,” “us”) provides CASPer, interview and MMI preparation to applicants to healthcare programs. We take the confidentiality of your personal information seriously. This policy explains what personal information we collect through this website and our services, why we collect it, who we share it with, how long we keep it, and the rights you have over it.
We handle personal information in accordance with Québec’s Act respecting the protection of personal information in the private sector (as amended by Law 25) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Who is responsible for your information
Project White Coat is responsible for the personal information described in this policy. The person in charge of the protection of personal information at Project White Coat can be reached at team@projectwhitecoat.com. Any question, request or complaint about your personal information can be sent to that address.
2. Information we collect
Information you give us
- Consultation requests and bookings: your name and email address, and, if you choose to provide them, your phone number, the program you are applying to, your test or interview date, your stage of preparation, your preferred call time and anything you write in the message field.
- Preparation work: the responses you write or record during practice, simulations and sessions, the feedback we give you, and any results or admission outcomes you choose to share with us.
- Payment information: if you purchase a program, the details needed to invoice you. Card payments are processed by our payment provider; we do not store your full card number.
- Communications: the content of emails, messages and calls you exchange with us.
Information collected automatically
This website is built to keep automatic collection to a minimum. It uses no advertising trackers, and its fonts are served from our own server rather than a third party. Like all websites, our host keeps standard server logs (such as IP address, browser type and the pages requested) for security and troubleshooting.
3. Cookies and similar technologies
The website itself does not set marketing or analytics cookies. WordPress sets cookies only for people who log in to administer the site. Our booking calendar is provided by a third-party scheduling service and may set its own cookies, which are necessary for it to work, when you use it. You can block or delete cookies in your browser settings; the booking calendar may not work properly if you do. If we ever add analytics or advertising tools, we will update this policy first and, where the law requires it, ask for your consent.
4. How we use your information
We use your personal information only for the purposes for which it was collected, namely:
- to reply to your consultation request and schedule your call;
- to prepare for that call so it is useful to you;
- to deliver the preparation services you sign up for, including personalized feedback;
- to invoice you and keep the financial records the law requires;
- to send you information about our services, only if you have agreed to receive it (you can unsubscribe at any time);
- to keep this website secure and working properly.
By submitting a form or booking a call, you consent to the use of your information for these purposes. You can withdraw your consent at any time by writing to us, subject to any legal obligation we have to keep certain records.
5. Student work, results and testimonials
The responses you write, the feedback we give you and the results you tell us about are treated as confidential. We never publish your name, initials, school, program or result on this website without your permission. The testimonials shown on this website come from reviews that their authors chose to post publicly on Google. If you would like a quotation from your review removed from this website, write to us and we will remove it.
6. Who we share it with
We do not sell or rent your personal information. We share it only with service providers that help us run our business, and only to the extent needed for them to do that work:
- our website host;
- our scheduling and client-management platform, which runs our booking calendar;
- our email and video-conferencing providers;
- our payment processor.
These providers are bound by contract to protect your information and to use it only on our instructions. We may also disclose information when required by law, or to protect our rights in a legal dispute.
Links on this website to Google, Instagram, Facebook or TikTok take you to those companies’ own services, which are governed by their own privacy policies.
7. Information stored outside Québec
Some of our service providers store information on servers located outside Québec, including elsewhere in Canada and in the United States. Before transferring information outside Québec, we assess whether it will receive adequate protection, and we require our providers to protect it. Information stored in another jurisdiction may be accessible to that jurisdiction’s courts and authorities under its laws.
8. How long we keep it
- Consultation requests that do not lead to working together: up to 12 months after our last contact.
- Client files, including your work and our feedback: up to 3 years after your last session, so we can help you again in a later admissions cycle.
- Invoices and financial records: as long as tax law requires, generally 6 years.
When information is no longer needed, we securely delete or anonymize it. You can ask us to delete your information sooner at any time.
9. How we protect it
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encrypted connections (HTTPS), access limited to the team members who need it, and reputable service providers. No method of transmission or storage is completely secure, but if a confidentiality incident presents a risk of serious injury, we will notify you and the Commission d’accès à l’information du Québec as the law requires.
10. Your rights
Subject to the law, you have the right to:
- know what personal information we hold about you and get a copy of it;
- have inaccurate or incomplete information corrected;
- withdraw your consent, including to receiving messages from us;
- ask us to delete your information, or to stop disseminating it;
- receive the information you gave us in a structured, commonly used technological format.
To make a request, write to team@projectwhitecoat.com. We may ask you to confirm your identity. We will respond within 30 days, free of charge.
If you are not satisfied with our response, you may file a complaint with the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada.
11. Minors
Our services are intended for applicants to post-secondary healthcare programs. If an applicant is under 14, we collect their personal information only with the consent of a parent or guardian. Parents and guardians who contact us on behalf of an applicant should make sure the applicant is aware of it.
12. Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date at the top of this page, and we will tell you about any significant change before it applies to information we already hold.
